The Executive Officer serves as a trusted business partner to the CEO, enabling the effective execution of organisational strategy and priorities. The role ensures the efficient operation of the CEO’s office, supports governance and stakeholder engagement, and contributes to the achievement of Hockey NSW’s mission and strategic objectives.
Reporting to the CEO, this position will service the Hockey NSW community and Member Associations in both regional and metro areas. The role will be based in a location that allows Member Associations to be easily accessed.
Key Responsibilities
Executive Support & Coordination
- Manage the CEO’s email, calendar, travel, expenses, and daily priorities.
- Draft correspondence, reports, and communications on behalf of the CEO.
- Coordinate meetings, prepare agendas, record actions, and track follow-ups.
- Maintain accurate, compliant records and confidential filing systems.
- Anticipate needs, prioritise tasks, and ensure deadlines and deliverables are met.
- Identify and implement improvements to administrative processes and efficiency.
- Coordinate competing priorities and ensure alignment with organisational objectives.
- Facilitate communication between executive leadership and the Board.
Board & Governance Support
- Coordinate Board and Committee meeting logistics, including preparation of board packs and minutes.
- Support Annual General Meetings and governance processes.
- Ensure timely distribution of documentation and accurate record keeping.
- Assist with Annual Reports and governance reporting requirements.
- Support onboarding and background checks for Board and Committee members.
- Prepare briefing materials and position papers for CEO and Chair.
- Assist with governance planning and annual governance calendar.
Stakeholder Management
- Act as a key liaison between the CEO, Board, and internal/external stakeholders.
- Build and maintain strong relationships, managing expectations and mitigating risks.
- Support stakeholder engagement and attend meetings as required.
Strategic & Project Support
- Support delivery of strategic initiatives through research, planning, and coordination.
- Oversee assigned projects, ensuring timelines, outcomes, and reporting are achieved.
- Collaborate on strategic communications to ensure consistent messaging.
- Assist with monitoring progress of strategic priorities.
Financial & Operational Support
- Assist with budgeting, financial reporting, and funding submissions.
- Support effective and sustainable financial management practices.
Leadership, Culture & Compliance

Qualifications & Experience
- Tertiary qualification in Business Administration or related field (desirable).
- Minimum 10 years’ experience in senior administrative or executive support roles.
- Proven experience supporting senior executives in complex environments.
- Experience in Board and governance administration.
- Experience with electronic records management systems.
- Experience in the not-for-profit or member-based sector (desirable).
- Advanced proficiency in Microsoft Office and relevant business systems.
- Knowledge of governance, compliance, and privacy obligations.
Other Requirements
- Some domestic travel required to support the program/project throughout the year, subject to CEO approval
- Availability to work some weekends and after hours
- Current Driver’s Licence
