Table Tennis Victoria is the peak sporting body for table tennis in Victoria and is the largest State body in Australia, with approximately 50% of the National membership base including approximately 66 affiliated clubs and Associations.
The Membership & Operations Coordinator supports the day-to-day operations of Table Tennis Victoria through administrative, communications, and event coordination tasks. This role plays an essential part in ensuring the effective running of TTV’s competitions, membership systems, and marketing channels, contributing to a professional and engaging experience for members, clubs, and stakeholders.
Key Responsibilities:
Administration
Manage general email and phone enquiries.
Maintain and update the website.
Regularly check and process physical mail and accreditations (WWCC).
Manage MSAC tenant relationships, bookings, and stakeholder relationships.
Clubs, Associations & Membership
Oversee affiliate club relationships and manage the new affiliation process.
Identify and support new affiliate opportunities.
Maintain club membership portals and manage support tickets in RevSport.
Manage player transfers, duplicates, and update membership classes/fees.
Generate monthly club invoices through RevSport.
Manage annual insurance renewals and Certificates of Currency.
Generate and analyse membership reports for the Board.
Participation Programs
Assist with delivery of school programs, pop-up events, and Junior Leaders Program logistics.
Assist with creating connections with Ping. Pong. Play providers and school & university table tennis programs.
Help drive more table tennis fan member registrations.
Provide admin support for grant-funded participation projects.
Events & Competitions
Support coordination of State Tournament Circuit logistics (entries, accommodation, officials).
Assist with setup and delivery of major events (Victorian Open, Country Championships, Victorian Closed).
Organise timesheets, rosters, and volunteer coordination.
Support with State Team operations.
Education Courses
Manage presenters, venues and participant registrations for Coaching & Umpire courses.
Ensure compliance with relevant policies (WWCC, accreditations, etc.).
Work with Table Tennis Australia on accreditations.
Marketing & Reporting
Collate content and statistics for the Annual Report.
Assistance scheduling content across TTV’s social media channels (Facebook, Instagram, LinkedIn, YouTube) and website.
Assistance drafting and distributing the monthly newsletter and club communications.
Other tasks as required.
