Description

The Financial Operations Executive is a key member of the Finance team, responsible for delivering efficient and accurate financial processing across accounts payable, receivable, reconciliations, banking, and general financial administration. This role supports the daily operations of the Finance Department and contributes to month-end reporting and compliance processes.

The role is ideally suited to a finance professional with 2–3 years of experience who is detail-oriented, reliable, and looking to further develop their finance career in a fast-paced sporting environment. A solid understanding of financial systems and a proactive attitude are essential. Familiarity with the sporting landscape in Australia or a background in team sports is highly regarded.

Key Responsibilities

Accounts Payable

  • Process supplier invoices and staff reimbursements through Hubdoc and ApprovalMax
  • Monitor invoice approvals and follow up on outstanding or disputed items
  • Prepare and upload weekly payment batches and assist with creditor run approvals
  • Liaise with suppliers and staff to ensure timely and accurate payments

Accounts Receivable

  • Generate and issue invoices for sponsorships, grants, hospitality, and other revenue
  • Maintain up-to-date debtor records and corporate revenue trackers
  • Follow up on outstanding payments and liaise with internal and external stakeholders

Banking & Reconciliations

  • Process daily banking transactions including EFTs, deposits, and transfers
  • Reconcile corporate credit cards and manage outstanding transactions
  • Complete monthly toll reconciliations and coordinate vehicle reimbursement claims

Month-End Support

  • Assist with the preparation and posting of journals, accruals, and prepayments
  • Maintain the fixed asset register and support depreciation entries
  • Contribute to the preparation of monthly reporting packs, including game day financials

Administration & Compliance

  • Support the submission of medical reimbursements and private health claims for players and staff
  • Assist with onboarding and offboarding forms and ensure documentation is properly filed
  • Maintain digital filing systems and support ad hoc requests from the Finance team

Stakeholder Engagement

  • Work collaboratively with departments across the organisation to ensure accuracy and timeliness of financial data
  • Communicate professionally with external suppliers, partners, and service providers

Skills and Experience

Essential

  • 2-3 years’ experience in a finance, accounts, or administrative support role
  • Bachelor’s degree (or currently studying) in Finance, Commerce, or Accounting
  • Intermediate to advanced Excel skills
  • Strong organisational and time management skills
  • High attention to detail and data accuracy
  • Strong written and verbal communication skills

Desirable

  • Experience with Xero, ApprovalMax, Hubdoc, or Syft Analytics
  • Prior experience in the sporting, events, or not-for-profit sector
  • Familiarity with the structure and operations of Australian sport
  • Experience participating in or working within a team-based environment

Essential Requirements

  • Relevant Tertiary Qualification
  • Bachelor’s degree (or currently studying) in Finance, Commerce, or Accounting
  • Intermediate to advanced Excel skills
  • High attention to detail and data accuracy
