Position Purpose
The HR Administrator provides high-quality administrative and coordination support across Basketball NSW’s people and culture functions. The role is responsible for supporting the efficient delivery of core HR processes, including recruitment administration, onboarding and offboarding, employee records management, policy administration, compliance tracking, training coordination and general HR support.
This role plays an important part in ensuring HR systems, documentation and processes are well organised, accurate, confidential and responsive. It also supports the Chief Financial Officer by strengthening day-to-day HR operations and enabling effective people management across the organisation.
Key Responsibilities
1. HR Administration
- Maintain accurate, complete and up-to-date employee records, files and HR documentation.
- Prepare employment contracts, contract variation letters, probation correspondence, confirmation letters and other standard HR documentation.
- Support the administration of employee lifecycle activities including commencement, role changes and separation processes.
- Ensure documentation and records are maintained in accordance with organisational requirements, privacy obligations and good record-keeping practice.
- Monitor and maintain key HR dates and registers, including probation review dates, contract end dates, qualifications, licences and compliance requirements.
2. Recruitment and Onboarding Support
- Coordinate end-to-end recruitment administration, including posting advertisements, scheduling interviews, preparing interview documentation and managing candidate correspondence.
- Assist with reference check administration and pre-employment documentation.
- Prepare onboarding documentation and support new starters through pre-commencement and induction processes.
- Coordinate onboarding tasks such as systems setup requests, documentation collection, policy acknowledgement and induction scheduling.
- Support hiring managers to ensure recruitment and onboarding processes are timely, professional and well coordinated.
3. HR Systems and Process Coordination
- Maintain HR templates, forms, trackers and registers to ensure they remain current, accurate and accessible.
- Support the administration of HR systems, including Employment Hero and other relevant platforms used across people operations.
- Assist with workflow management and document control across HR processes.
- Contribute to continuous improvement by identifying opportunities to strengthen the efficiency, consistency and user experience of HR administration.
4. Compliance and Training Administration
- Track and coordinate HR compliance requirements, including Working with Children Checks, mandatory training, policy acknowledgements, licences and other employment-related obligations.
- Support the administration of probation review cycles, objective review processes and other scheduled people processes.
- Coordinate internal and external training bookings, attendance records and follow-up reminders.
- Assist with preparation of HR records and documentation to support audits, reporting and compliance reviews.
5. Employee and Manager Support
- Provide first point of contact support for routine HR administrative enquiries, escalating matters where appropriate.
- Assist employees and managers to access policies, templates, forms and process information.
- Maintain a professional, approachable and service-oriented approach in all interactions.
- Handle sensitive information with a high degree of confidentiality, care and discretion.
6. Reporting and Organisational Support
- Assist with the preparation of workforce reports, people data summaries and HR administration updates as required.
- Support staff engagement, wellbeing and people initiatives through administrative coordination and internal communication assistance.
- Provide administrative support on HR projects and broader people and culture priorities as directed.
- Contribute positively to a collaborative, professional and values-driven workplace culture.
