Altona Gators Basketball Club is a not-for-profit community sporting organisation that provides players with the opportunity to compete and develop at a representative level. With both junior and senior programs competing in Basketball Victoria competitions, the club is committed to delivering a positive, professional and development-focused basketball environment.
We are seeking an organised and motivated Representative Program Administrator to support the day-to-day administration of the Altona Gators representative program.
About the Role
This role is responsible for managing the administrative operations of the club’s junior and senior representative programs. Working closely with the Director of Coaching and the Club Committee, the role supports players, parents, coaches and volunteers to ensure the smooth delivery of the program throughout the season.
This is a part-time role (24 hours per week) suited to someone with strong organisational skills and experience in sports administration.
Key Responsibilities
Communication & Coordination
- Act as the primary administrative contact for Basketball Victoria competitions including VJBL and Big V
- Respond to enquiries from players, parents, coaches and stakeholders
- Manage and escalate complaints or issues to the appropriate club representatives
- Support clear communication across the club’s representative programs
Season & Program Administration
- Coordinate and support representative team tryouts for junior and senior teams
- Manage player registrations and team allocations through PlayHQ
- Ensure competition entries and documentation are completed within required timelines
- Coordinate pre-season games, training schedules and court bookings
- Assist with distribution of season information including welcome packs, policies and key dates
Operational Support
- Maintain accurate records of players, teams, coaches and team managers
- Manage uniform and merchandise ordering and coordination with suppliers
- Assist with camps, clinics and club tournaments administration
- Work with the bookkeeper on player fee administration and payment follow-up
- Maintain the club calendar and key administrative deadlines
Stakeholder Support
- Work closely with the Director of Coaching, committee members, coaches, team managers and volunteers
- Assist with recruitment and support of club volunteers and program staff
- Attend committee meetings and provide administrative reports where required

You are organised, proactive and comfortable working in a fast-paced community sport environment. You enjoy supporting volunteers and helping programs run smoothly.
Essential Skills & Experience
- Experience in sports or club administration
- Strong organisational and time management skills
- Excellent communication and stakeholder management skills
- Strong computer and administrative skills
- Ability to manage multiple tasks and deadlines
Desirable
- Experience using PlayHQ
- Experience using TeamPay, MYOB or similar payment platforms
- Experience working in basketball or community sport organisations
