Purpose
To plan and manage the implementation of rugby events conducted by the ACT Brumbies (Brumbies) and as required by Rugby AU (RA).
In close collaboration with the broader Brumbies organisation, successfully plan, develop and execute All Super Rugby, Super W, Trial match and academy game day activities whilst ensuring the on-time delivery and management of all logistics to showcase the Brumbies brand to the public.
The position is one of the main points of contact from an event operations perspective and must therefore manage and develop operational relationships with Brumbies and as required RA internal & external stakeholders such as venues, teams, service providers and suppliers.
Key Responsibilities/ Outcomes
Strategy
- To continually challenge and refine current planning and operational procedures in order to operate more efficiently and effectively in delivering events and managing operations
- Work with the Brumbies Head of Commercial Operations in conjunction with the RA Manager, Events & Operations to achieve and maintain productive, progressive and harmonious relationships with key stakeholders
- Develop, produce and refine Rugby Services policies and procedures for review and implementation. This includes event/tournament manuals outlining logistical, administrative and operational requirements
Operational
- To manage match day operations and ensure detailed match day planning is successfully executed
- Manage event planning including the development of key match day tools including event documentation, tournament manuals, venue delivery schedule, accreditation, satellite catering, parking, fixtures fitting and equipment documents, ticketing and others
- Liaise with key service providers and event partners as they relate to Operations (venue, signage, sports presentation, broadcasters, match communications)
- Coordinate the Rugby Operations requirements of visiting teams in relation to match day transport, captain’s runs, match day catering and any other tournament manual requirements
- Management of event operations expenditure, event day budget and event settlements
- Ensure the requests of the visiting team are met in the leadup to the match including arrangement of all liaison officers, transport, nutrition and training venues and ensuring any special requirements are met
- Scoping, recruiting and management of match day staff (both paid and volunteer) for match days including liaison officers, match managers, match day assistants, medical staff, ball kids, ball kid coordinators, timekeepers
- Fully understand and execute Rugby Australia and SANZAAR policies and tournament manuals and ensure strict compliance of these policies
- Work closely with Marketing and gather input from all internal and external stakeholders around game day activities or themes
- Attend internal and external event planning meetings and maintain actions and issues register
- Liaise with stadium staff in relation to all venue service requirements such as catering, spectator services, venue security, police etc and work with venue operators to ensure smooth delivery of match day requirements
- Manage and work closely with match day manager
- Build strong relationships with broadcast floor managers, producers and NEP technical managers
- Work with NEP technical manager on camera plan requirements and other broadcast operational requirements related to match day delivery
- Continuously monitor and improve valuable metrics of stakeholder satisfaction levels
Business Operations Events
- Business Operations Events are all events that sit outside of Professional and Community Rugby matches & events.
- In close Collaboration with the Business Operations and broader Brumbies organisation, to successfully plan, develop and execute ALL event activities whilst ensuring the on-time delivery and management of all logistics to deliver events to the Brumbies standards to internal and external stakeholders.
Community Events
- In close collaboration with the Community team and broader Brumbies organisation, to successfully plan, develop and execute ALL event activities whilst ensuring the on-time delivery and management of all logistics to deliver events to the Brumbies Standards to internal and external stakeholders
- Community Rugby Events are all Brumbies events that sit outside of Professional Rugby and Business Operations events.
Qualifications, Capabilities & Experience
- Appropriate tertiary degree or relevant experience
- Ability to take a strategic view on planning and delivery, whilst at the same time, exhibiting a strong attention to detail
- A demonstrated ability to manage multiple tasks in a pressure environment and prioritise them accordingly
- Strong communication (verbal and written) and relationship management skills
- Strong project management discipline
- An ability to think clearly, remain calm under pressure, and be able to demonstrate conflict resolution skills
- High level of knowledge of rugby at an operational level
- An extensive knowledge of and an ability to utilise Microsoft applications
- Demonstrable success in event management and operations for a sporting organisation
- Previous experience in managing a financial budget
- Previous people management experience with a demonstrated ability to maintain relationships with a diverse group of stakeholders – i.e. marketing, venue & ticketing operators, state unions
Due to the project nature of event delivery, flexibility of work hours will be required to ensure deadlines are met. Additionally, the actual delivery of events often involves significant work during non-business hours. Candidates must be willing to undertake national travel in the execution of their role.
