About the Victorian Institute of Sport:
The Victorian Institute of Sport (VIS) was set up to assist the development of Victoria’s best athletes. It was established in 1990 by the State Government as a private trustee company, with its Board of Directors appointed by the Victorian Minister for Sport.
The VIS is located at Lakeside Stadium, Albert Park. The VIS headquarters completed a renovation in February 2023, providing a brand new workspace for athletes and staff. It is a non-residential institute, which utilises Melbourne’s outstanding sporting facilities, to allow high performance athletes to live and train in Melbourne, the sporting capital of Australia.
The VIS operates in partnership with National Sporting Organisations and State Sporting Associations to deliver high performance daily training environments (DTEs) for sports and athletes in support of the National High Performance Sport Strategy outcomes. Our facility and staff help prepare and support future and current Olympic, Paralympic, Commonwealth Games and World Champion athletes.

About the role:
The Athletics Program Coordinator is responsible for the effective administration and operational coordination of the VIS Athletics Program. Working closely with the Australian Athletics State Performance Advisor (SPA), the role supports the delivery of program objectives, including oversight of the operational budget and logistical planning.
A key focus of the position is maintaining clear and consistent communication with Victorian Representative Stream athletes, ensuring they are well-supported within the high-performance environment. This role requires strong organisational skills, attention to detail, and a commitment to supporting athlete development within a collaborative and fast-paced setting.
Responsibilities include but not limited to:
- Support the State Performance Advisor (SPA) in fostering a high-performance culture aligned with Athletics Australia’s strategic outcomes.
- Act as the primary liaison for Lakeside Stadium track access, ensuring smooth coordination between VIS and venue management.
- Provide comprehensive administrative support to the VIS Athletics Performance Program, including assistance with budget development, monitoring, and reporting.
- Manage onboarding processes for athletes and coaches, and contribute to the implementation of the program’s annual operational plan.
- Coordinate athlete funding allocations and oversee the procurement of equipment and resources.
- Organise and manage logistics for training camps and competitions, including travel, accommodation, medical support, and service team coordination.
- Facilitate and document Interdisciplinary Team meetings, ensuring effective collaboration across the VIS Performance Team.
- Maintain accurate athlete profiles and performance notes using the Athlete Management System.
- Provide ongoing administrative and program support to the SPA, including communication of key updates related to athlete performance, competition results, injury and illness reports, and program developments.
Required Qualification and Experience
- Current Victorian Working with Children Check
- Valid driver’s licence
- Successful completion and currency of Sport Integrity Australia (SIA) Level 1 and Level 2 accreditation
- Completion of SIA’s Keep Sport Honest anti-match fixing education modules
- In good standing with Athletics Australia, its Member Association, and relevant program partners
- Strong interpersonal and communication skills, with the ability to build effective relationships across a diverse range of stakeholders
- Demonstrated high-level organisational and planning skills, ideally within a coaching or athlete-focused environment
- Proven ability to support, guide, and monitor athlete performance in a high-performance setting
- Capacity to remain composed and effective under pressure, managing competing priorities and challenges professionally
- Sound understanding of athlete development pathways and current best practices in talent identification and progression
- Strong knowledge of the demands and expectations placed on athletes and coaches within high-performance sport, both domestically and internationally
Desirable Qualifications and Experience
- Strong administration and financial management capabilities
- Experience working within an integrated high performance athletics system involving multiple service providers
- Demonstrated ability to make informed decisions, manage conflict, and communicate effectively under pressure
- Experience coordinating or administering a high performance service team
