POSITION OBJECTIVE

The Executive Officer is employed by PA to work closely with the PT Board and the PA Executive  Management Team to effectively develop operational plans, aligned to the Strategic Plan for Padding in Australia (SPPA), to effectively raise the profile of paddle across Tasmania. The role is responsible for the management of PT and for providing services and support to all members, affiliated clubs and the staff, contractors, committees and volunteers of PT.

REPORTING STRUCTURE

Under the United Paddling Management Workforce model, this role reports to the CEO of PA however it will be the Chair and Board of PT who will provide regular oversight and guidance around workflow and the delivery of local based activities, as agreed in conjunction with PA and aligned to the Strategic Plan for Paddling in Australia. 

LOCATION

The position is located in Tasmania and is offered on a work from home basis - PT does not have an office presence. Some intrastate and interstate travel will be required including occasional weekend or after-hours representation or site visits.

KEY STAKEHOLDER RELATIONSHIPS

This position is the first point of contact for PT and will work closely with the following:

  • Chair and Board of PT
  • Committees of PT
  • Commodores and Executive of Tasmanian Paddling Clubs
  • Instructors, Guides and Assessors
  • Communities, Sport and Recreation Tasmania
  • Hydro Tasmania
  • Paddle Australia

PRINCIPAL DUTIES

Manage all areas of PT.  This includes reporting to the PA CEO & PT Chair and Board on all relevant issues and associated matters, overseeing the day-to-day operations including financial and administrative areas. Liaising with state & local government authorities, PA and other key authorities as required.

General

  • Develop and deliver against the PT operational plan, consistent with the SPPA
  • Provide support to the PT Board, including preparation of board papers and other key documentation and information as required.
  • Management of financial performance of PT, including preparation of and performance against budgets and the management and acquittal of Grant Funds
  • Identification of potential Grant funding and other income generating opportunities and preparation of Grant applications
  • Provide management and support to all PT staff, contractors and volunteers and assist in their professional development where appropriate.
  • Represent PT, and where appropriate PA, to state and local government, paddlers and paddling clubs, media, local authorities and key community stakeholders.
  • Manage the delivery of the PA Qualifications Scheme (PAQS) in Tasmania
  • Develop innovative non-PAQS initiatives through paddling clubs, schools and community organisations so as to attract new participants to paddling
  • Support Affiliate clubs to improve governance and establish best practice administration and communication practices.
  • Monitor PT communications, emails, phone, social media and address or refer matters as required
  • Provide support to and facilitate coordination of specialist technical committees for paddle sport disciplines in respect of events, memberships and activities.
  • Support a State-wide calendar of events across Clubs and PAQS
  • Identify and develop opportunities to market and promote PT, PA and club activities, services and initiatives through a variety of social media platforms, the PT website and local media and partners.
  • Support new initiatives, programs and technology solutions by creating an environment which embraces positive change, stimulates ideas and drives member engagement outcomes.
  • Implement, participate in and promote PA national program initiatives, protocols, values, policies, processes and procedures.
  • Attend key events and meetings related to paddle sports.
  • Adopt continuous learning and improvement processes in all aspects of the position.
  • Undertake other reasonable tasks as delegated by CEO PA and the Board of PT.

KEY SKILLS & EXPERIENCE

Qualifications

  • Tertiary qualifications in Sports Management, Business (or related field) is highly desirable for this role, or equivalent proven leadership skills in a state management function, preferably with sport.
  • A current drivers licence

Experience/Skill Level Required

  • Prior experience in a similar role would be highly beneficial.
  • High level skills in management and administration, ideally within a sports environment.
  • Experience in working with volunteer boards and or committees.
  • Ability to influence across all levels, negotiate and resolve conflict.
  • Sound business acumen and experience in budgeting, and financial reporting.
  • Project management experience.
  • Experience of working within a membership-based organisation.
  • Experience in or understanding of paddle sports, although not essential, would be viewed favourably.

KEY PERFORMANCE INDICATORS (KPIs)

  • Monitoring and reporting against the Strategic Plan as well as operational delivery of strategic objectives and ownership of operational planning, tracking and reporting.
  • Satisfactory achievement of ongoing targets, goals and objectives as set in consultation the PA CEO and with the PT Board.
  • Demonstrate a whole of organisation view, and positively represent and promote the interests of paddle amongst members, stakeholders and PT.
  • Accurate and timely reporting of budgets and financial reports.
  • Stakeholder (both internal and external) service and satisfaction.
  • Accuracy and upkeep of information, documentation and advice given and reported.

This is a fixed term position through until 30 June 2024.  Extension may be possible subject to funding.
